- Conference Africa will assist in selecting and finalizing the most suitable venue for your event and negotiate the best possible rate based on the your needs.
- Arrange and manage the room layout, all breakaway rooms, conference office, social venues, speaker room, registration area etc where necessary
- Supply all necessary information to venues, such as rooming lists, final numbers of delegates, time of arrival and departure, special meal requirements etc.
- Keep track of all cancellation dates and payment requirements such as deposits and final payments and releasing of rooms on time. Conceptualization of themes and décor.
- Coordinate contracts between the selected function venues and the client, ensuring all services and requirements are met.
- Post event, we will reconcile and verify all invoices, charges and extras to be reflected on final invoicing.
